SBBf: from submission to final decision, the 49th Annual Meeting in one system

At its 49th Annual Meeting in Campinas, SBBf ran registration, the call for papers, peer review, the conference app and the proceedings on the same platform. Nine reviewers completed 417 reviews. Of the 69 papers that received requests for changes, 65 were resubmitted. All 353 papers are published in open access.

Good afternoon, my name is Leandro Barbosa, and I'm part of the Organizing Committee of the 49th Annual Meeting of the Brazilian Biophysical Society.

This year we had the support of the Galoá team for registration management, for submissions and the management of the papers that were submitted, and also for the review of the papers, which were promptly forwarded to the Review Committee.

And for the first time at our event we also had an app, also developed by them, where we could follow the programme in a much more practical way, using our phones, with the app you get from the stores.

We also suggested some improvements and updates to the systems, which they promptly made, which is also a nice thing: the feedback and support service, even for the app itself and the system, was always very, very fast, which also matters to us.

As for our experience with Galoá, I think the advantage was that we managed to bring everything together in one system, from receiving the papers to sending them to the reviewers, the reviewers' feedback, the reviewers' comments, because sometimes the abstracts needed some kinds of changes, all of it automated and in the same place.

So that makes things much easier, both for our work and for the work of our fellow reviewers. So I think that was the great convenience we had: bringing all these services together on a single platform.

Four editions in a row, and an audience that grew 67%

The Annual Meeting of the Brazilian Biophysical Society has run on the Galoá platform since its 47th edition, in 2023. Over that period, attendance went from 276 registrants in 2023 to 347 in 2024 and 461 at the 49th Annual Meeting, held October 28 to 31, 2025, at Unicamp in Campinas, according to SBBf itself.

There were 312 posters presented and 353 papers published in the proceedings, all in English, across 18 thematic tracks, from protein dynamics to biomembranes. The 50th Annual Meeting, in October 2026 in Rio de Janeiro, marks the society’s 90th anniversary.

Everything in one system

At the 49th meeting, Galoá handled registration, the call for papers, committee review, the conference app and proceedings publishing. Prof. Leandro R. S. Barbosa, of the organizing committee, sums up what changed for the organizers (translated from Portuguese):

“The advantage was that we managed to bring everything together in one system, from receiving the papers to sending them to the reviewers, the reviewers’ feedback, the reviewers’ comments, because sometimes the abstracts needed some kinds of changes, all of it automated and in the same place.”

Nine reviewers, 417 reviews

The call for papers received 353 papers between May and October 2025. At submission, the platform automatically assigned each paper to a reviewer on the committee. Nine reviewers completed 417 reviews, and the average time from submission to decision was 17 days.

The back and forth of revisions

For 69 papers, reviewers asked for changes: these are the abstracts that, in Leandro’s words, “needed some kinds of changes”. The author resubmits the corrected version, the platform sends the new version back to the same reviewers and, with their review, issues the final decision. Of those 69, 65 were resubmitted by their authors, and all 353 papers reached the proceedings approved.

The app, for the first time

The 49th was SBBf’s first Annual Meeting with a conference app, on the App Store and Google Play, with the programme, abstracts and speakers on attendees’ phones. With it, Leandro says (translated from Portuguese), “we could follow the programme in a much more practical way, using our phones”.

The 353 papers of the 49th Annual Meeting are published in open access on proceedings.science, Galoá’s proceedings archive, under ISSN 2966-4381. No login and no paywall, searchable by title, author and keyword.
