Proceedings are more relevant than you think
Conference proceedings sit between preprints and journal articles in rigor, and they are how a field tracks its own state of the art. Why they get underrated.
Proceedings are usually treated as second-class publications. They do not carry the weight of a journal article, and they do not have the speed of a preprint, so they end up filed as a formality: something the organizing committee produces after the conference because it is expected, not because anyone believes it matters.
That reading is wrong, and it costs conferences more than the organizers realize. Conference proceedings are real scholarly publications; their weight varies by field, but their function is different from a journal’s, not lesser. They are the record of what a field was arguing about at a specific moment, they are what keeps a conference present between editions, and they occupy a place in the rigor spectrum that nothing else occupies.
Where proceedings sit in the rigor spectrum
The most useful way to understand proceedings is to place them between the two publication types they get compared to.
A preprint is a scholarly manuscript made public before formal journal publication: fast and open, but not certified by a journal’s peer review (repository screening, where it exists, is not peer review). A journal article sits at the other end: a long review cycle, strict criteria, and a delay measured in months or years between submission and publication.
Proceedings sit in the middle, and they get there honestly. Submissions to a scientific conference go through peer review by the scientific committee, and the proceedings publish the approved work selected under the conference’s rules. The review is less strict than a journal’s, and the reason is structural rather than a lack of care: the window between the call for papers and the presentation is short, and the committee works inside it. So proceedings add real review at something much closer to a preprint’s speed.
That middle position is what makes them useful, and why the reflex to dismiss them misses the point. The right question is not whether proceedings are as rigorous as a journal. They are not, and they were never trying to be. It is what you get in exchange: work that reaches the community while it is still current, filtered by people who work in the field.
Field norms differ, and that is not a detail
There is no universal verdict on the standing of proceedings, because each field has already reached its own. Bibliometric analyses confirm that this weight varies from field to field, and recent measurements, from physics to the humanities, keep finding the same pattern.1, 2, 3
In computer science, complete papers published in the proceedings of leading conferences are treated as first-class publications and routinely cited.4, 5 Much of the field’s important work appears there first. The exact standing still varies by subfield and venue, but the norm is unmistakable.6
The life sciences work differently. Credibility still concentrates in the recognized journals, and a paper published in proceedings carries less weight in the same conversation. That is a real convention, and pretending otherwise helps no one.7
But the boundary is moving, and preprints are the proof. Publications deposited in open repositories with no peer review at all have earned a serious place in fields that, not long ago, would have refused to cite them.8 If a field can adjust to preprints, the argument for keeping proceedings in a lower tier gets harder to make each year. In a 2008 article, Aureliana Lopes Lacerda and colleagues gathered studies pointing to the heavy use of proceedings for informal scientific communication, which is to say the reliance is not new: it has been there all along, ahead of the formal recognition.9
Proceedings are how you track the state of the art
Read the proceedings of a field’s main conference and you get something no single journal article gives you: the panorama. What the controversies are. What the topic of the moment is. Which concepts have been retired and what replaced them. Which groups are working on what, and who is arguing with whom. And this is not just the impression of people who attend: bibliometric work treats proceedings as a data source in their own right, one that captures what journals alone do not.10
Part of this comes from a freedom that gets very little attention. The organizing committee of a scientific event sets its own selection and evaluation criteria. It is not bound by a journal’s editorial tradition, so it can be bolder, more current, and more open about what it accepts, making space for work a traditional journal would take years to catch up to. That editorial freedom is a large part of why proceedings track the frontier so well.
The other part is the discussion itself. A conference is where written work has to answer, out loud and in real time, to comparisons, doubts, criticism, and praise, with none of the protection the delete key provides. The proceedings are the record of that moment. That is why they work as historical documents, as sources for students, and as reference material for researchers who were never in the room.
What proceedings do for a conference between editions
Much of what a conference produces is intangible. The experience, the learning, the new contacts, the ideas that started over coffee: real and valuable, and hard to point to a year later. The proceedings are its durable scholarly record.
They are also the conference’s most honest advertisement for its next edition. A researcher deciding whether to submit to a call for papers wants to know what kind of work gets accepted and what the level is. Open proceedings answer that in five minutes, and no promotional copy can compete with them.
The reach is wider than the room, and that is the part organizers tend to underestimate. Proceedings published in open access get read by people who attended, by people who wanted to attend, by people deciding whether to submit to the next edition, and by researchers in the field who have never heard of the conference.
The numbers bear this out. The proceedings published on the Galoa platform draw around five million page views a year, and a single long-running scientific event shows what that means over time: the proceedings of SLACAN, the Latin American Symposium on Food Science and Nutrition, have accumulated more than one million views. Those totals show how often proceedings keep being accessed long after the conference’s dates.
Access is also measurable per paper. When the platform reports access data for each work, the committee can assess the conference’s reach with numbers instead of guesses, and authors can see how often their own work is accessed. The demand for the proceedings outlasts the room, and it does not stop when the closing session ends.
The DOI is what makes the record hold
Identification is what makes the record hold. A paper published in proceedings with a DOI carries a persistent identifier and a managed link: easier to find, to trace, and to cite, and it belongs in the author’s publication record the same way any other publication does. The identifier stays resolvable while its registered URL and metadata are kept current. Without one, the work can still be a publication, but it becomes much harder to trace reliably once websites change: a classic study of conference publications found nearly half the URLs broken within a decade.11
This matters most for the people who need it most. Early-career researchers are often presenting their first work at these conferences, and a properly registered proceedings paper is how they learn what a publication record is and how to build one. It is also how the conversations that started at the event stay reachable afterward: a reader who wanted to ask the authors something and never got the chance can still find them.
Correct attribution is the other half of the same problem, and it is why ORCID exists. An identifier tied to the researcher, not to a name that thousands of people share, helps keep a proceedings paper connected to the person who wrote it, wherever the metadata travels. Treat the proceedings as the point, not the paperwork
A conference that treats its proceedings as an afterthought is underusing its most durable scholarly asset. Done well, the proceedings extend the discussion far past the closing session, they give the field a readable snapshot of its own state of the art, and they carry the conference’s name through the entire gap until the next edition.
The organizing committee that understands this stops asking how to get the proceedings out and starts asking how to make them worth finding. That is the difference between a conference that happens every two years and a conference that a field considers its main reference.
